Quick answer

Is outsourcing to the Philippines suitable for a small business with fewer than ten staff?

Yes, provided there is one full-time role's worth of repeatable work. Many of our clients started with a single virtual assistant or support agent and grew from there. The main requirement is that someone in your business can explain the job and answer questions during the first few weeks.

Outsourcing to the Philippines is the route many growing businesses in the US, Australia, the UK and Canada take when they need more people than they can hire locally and want those people to stay. Allstate, Keller Williams and Anytime Fitness are among the clients for whom ProVizion Outsourcing has built dedicated Philippine teams since 2011, and in nearly every first conversation the same questions come up. Which model fits? Which roles move well? How do you know your business is ready? What happens in the first three months?

This page answers those questions plainly. It is written for someone at the comparison stage rather than someone who has already decided, so it also covers how the Philippines compares with India, South Africa and Latin America. It is meant to help you reach a sensible decision before you speak to anyone.

Two ways to buy: an outsourced service or your own offshore staff

Two quite different arrangements hide behind one word. In the outsourced service model you hand a defined function to a provider, who owns the process, the tooling and the staffing. You measure output, such as tickets closed or claims keyed, and the provider decides who does the work. It suits high-volume, well-documented tasks.

In the offshore staff model, often called dedicated offshore staffing, you hire named people who work only for you, inside your systems, on your hours. The provider recruits, employs and houses them, but day-to-day direction is yours if you want it. This suits work that changes often, needs judgement, or sits close to your customers. Most of what we build is this second kind.

Which roles move well to Manila, and which do not

Roles that travel smoothly tend to share three features: the work is done on a screen, the process can be written down, and success can be judged within a week. That covers phone, email and chat support, claims and policy administration, bookkeeping, recruitment coordination, order management, CRM upkeep and most back office processing.

Roles that struggle are those that depend on being in the room, on knowledge nobody has documented, or on relationships built over years. A senior account manager who closes deals over lunch is a poor first offshore hire. The coordinator who prepares everything that account manager needs before lunch is a good one.

Four signs your business is ready to offshore

Readiness has less to do with size than with having something to hand over. We typically look for the following before recommending a team:

  • A process at least one person can describe end to end, even if nobody has written it down yet.
  • Enough recurring volume to keep one full-time person busy. Three hours a day of work does not justify a seat.
  • Systems that can be reached from Manila, since staff work inside your tools.
  • Someone on your side who can answer a new hire's questions in the first month, even if a ProVizion team leader runs the roster.

If two of those four are missing we will usually say so rather than start a team that stalls.

Outsourcing to the Philippines versus India, South Africa and Latin America

Each region has a genuine case. India has the deepest pool for software engineering and complex finance work. South Africa offers a neutral accent that UK buyers like and a time zone that overlaps the European day almost entirely. Latin America, particularly Colombia and Mexico, gives US firms same-time-zone coverage and strong Spanish bilingual support.

The Philippines leads on spoken and written customer contact in English, cultural familiarity with American and Australian service expectations, and a large graduate workforce accustomed to shift work. Because Manila runs on UTC+8, Australian and New Zealand hours fall on a day shift, American and Canadian hours on a night shift, and British hours on an afternoon or split roster. Customer-facing English work points to the Philippines; deep engineering or Spanish support points elsewhere first.

The first 90 days, month by month

  1. Weeks one and two. Recruitment, interviews with your shortlist, offers and system access. Once a candidate is chosen, a one, two or three person team is usually working inside 48 hours; a programme of fifty or more seats is planned over several weeks.
  2. Weeks three and four. Onboarding and shadowing. Staff learn your products, tone and tools, usually from recorded calls or alongside your existing team.
  3. Month two. Supervised production. Quality checks run on a sample of everyone's work and coaching happens daily.
  4. Month three. Steady state. Reporting settles into a weekly rhythm and you decide whether to extend, add seats or change the management model.

A fuller version of this timeline is on our step-by-step walkthrough.

Where ProVizion sits in this picture

We build dedicated teams, never shared pools, recruited from a Filipino talent network that exceeds 10,000 professionals. Anything up to around 20 seats runs from our own operation, and partner facilities with over 1,000 seats take on the larger programmes. You choose whether to manage the team yourself or have one of our team leaders handle rosters, quality and coaching, and you can switch later. Where PCI DSS, HIPAA or GDPR applies, the engagement is structured to satisfy it, with access granted by role, every action logged, and NDAs and background checks for every hire; your data never leaves your own systems.

Our staff hold full-time positions that come with health cover and paid leave and lead on to team lead, QA and training roles, so they tend to stay, which is the biggest factor in whether offshoring pays off. What shapes the commercial side is covered on our page about what affects offshore team pricing.

Frequently asked questions

Is outsourcing to the Philippines suitable for a small business with fewer than ten staff?

Yes, provided there is one full-time role's worth of repeatable work. Many of our clients started with a single virtual assistant or support agent and grew from there. The main requirement is that someone in your business can explain the job and answer questions during the first few weeks.

Do Filipino staff work my hours or theirs?

Yours. Manila's UTC+8 position means a day shift matches Australia, a night shift matches North America and a split shift reaches the UK. Staff are recruited for the shift you need, and night work is normal in the Philippine BPO sector rather than an exception.

Who employs the people on my team?

ProVizion does, through our trading entity Provizion Marketing Services. We handle payroll, statutory benefits, health cover, leave and HR. You direct the work, or our team leader does on your behalf, but the employment relationship and its obligations sit with us.

What happens if someone on the team is not working out?

Tell us. We coach first, and if performance does not lift we replace the person from our talent network without you restarting the process. Replacement is rarer than people expect because our turnover sits well below the industry norm.

Can I start with a managed service and later move to directing the staff myself?

Yes, and the reverse is also possible. Many clients begin with a ProVizion team leader in charge while they learn what the work involves, then take over day-to-day direction once comfortable. The contract does not lock the management model in place.

Let's talk about your team.

Two ways to start. Book a short call, or request a proposal and we'll come back with a recommended team structure.
