How ProVizion Outsourcing collects, uses, shares and protects personal information.

Last updated: 8 October 2026

This policy explains how Provizion Marketing Services, trading as ProVizion Outsourcing ("ProVizion", "we", "us") collects, uses, shares and protects personal information when you visit provizionoutsourcing.com, book a call with us or request a proposal. It applies to prospective and current clients and to website visitors. It does not cover the handling of client data by our staff while they work inside a client's own systems; that is governed by the agreement we sign with each client.

Information we collect

Information you give us. When you request a proposal, we collect your name, work email, company, role, company website, country, and the details you choose to share about the roles, hours, volumes, systems, data standards, customer markets, start date and management preference for your team. When you book a call, our scheduling provider collects your name, email, the time you choose and any notes you add.

Information collected automatically. Like most websites, our hosting provider records technical data such as your IP address, browser type, device, pages viewed and the time of your visit. This is used to keep the site secure and working properly.

Information from others. If someone refers you to us, or if we meet you at an event or through a partner, we may receive your name and business contact details from that source.

We do not ask for, and you should not send us, sensitive information such as health details, government identifiers or payment card numbers through our website forms.

How we use it

  • To respond to your enquiry, prepare a proposal and arrange calls.
  • To deliver, manage and invoice services if you become a client.
  • To send occasional service updates or relevant information about our services. You can opt out at any time by replying to say so.
  • To maintain the security of our website and prevent misuse.
  • To meet our legal, tax and accounting obligations.

Where data protection law requires a legal basis, we rely on taking steps at your request before entering a contract, performing a contract, our legitimate interest in running and promoting our business, and compliance with legal obligations. We do not sell or rent personal information, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

Who we share it with

We share personal information only with service providers who help us run our business, and only as far as they need it. These include:

  • Formspree, which processes proposal request form submissions.
  • Calendly, which handles call bookings.
  • Google, which serves the fonts used on this website and may receive your IP address when they load.
  • Our website hosting provider, email provider and business software providers.
  • Professional advisers such as accountants and lawyers, where needed.

We may also disclose information if required by law, to protect our rights, or as part of a sale or restructure of our business, in which case the recipient will be bound to handle it in line with this policy.

International transfers

ProVizion operates from the Philippines and serves clients in the United States, Australia, the United Kingdom, Canada and elsewhere. Your information may therefore be processed in the Philippines and in the countries where our service providers operate, including the United States. Where we transfer information across borders, we take reasonable steps to ensure it receives a comparable level of protection, including contractual safeguards with our providers where the law requires them.

Cookies

Our website does not use advertising cookies. The embedded booking calendar on our contact page is provided by Calendly and may set cookies needed for it to work; Calendly's own privacy notice explains how it uses them. If we add analytics tools in future, we will update this policy and, where required, ask for your consent.

How long we keep it

We keep enquiry and proposal information for as long as it is useful for the conversation, and generally no longer than two years after our last contact if you do not become a client. Client records are kept for the length of the engagement and afterwards for as long as tax, accounting and legal requirements oblige us to.

How we protect it

Access to personal information is limited to the people who need it, accounts are protected with strong passwords and multi-factor authentication where available, and our providers are chosen for their security practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we will notify you and the relevant authority of a breach where the law requires it.

Your rights

Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, to receive it in a portable format, and to withdraw any consent you have given. These rights arise under laws including the Philippine Data Privacy Act of 2012, the Australian Privacy Act 1988, the UK GDPR and EU GDPR, Canada's PIPEDA, and United States state privacy laws such as the California Consumer Privacy Act.

To make a request, contact us through our contact page. We will respond within the time the applicable law allows and may need to confirm your identity first. If you are not satisfied with our response, you can complain to your local data protection authority, such as the National Privacy Commission in the Philippines, the Office of the Australian Information Commissioner, the UK Information Commissioner's Office or the Office of the Privacy Commissioner of Canada.

Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed, and significant changes will be highlighted on this page.
